Privacy statement

1. Who we are

Ralect, Gruttersdreef 721, 7328 DZ Apeldoorn, the Netherlands, registered with the Dutch Chamber of Commerce under number 89940172, is responsible for processing personal data as described in this statement. You can reach us at info@ralect.com.

2. What data we process

• Contact form and demo request: your name, company name, email address, your phone number if you fill it in, and your message.
• Price calculator and apps scan: if you then request a demo, also the plan or answers you filled in.
• Email and phone: what you send or tell us yourself.
• Website visits: only if you accept analytics cookies, data about your visit such as pages viewed, traffic source and device type, through Google Analytics.
• Forms: Google reCAPTCHA checks whether a form is filled in by a person.
• Logging in: we only remember the name of your Ralect ONE environment in your own browser.

3. Why and on what basis

• Getting in touch and preparing your demo: at your request, prior to a possible agreement, and our legitimate interest in responding to requests.
• Improving the website with analytics cookies: your consent, which you can always withdraw.
• Protecting forms against spam and abuse: our legitimate interest.
• Customer relationship and administration once you become a customer: performing the agreement and legal obligations, such as the tax retention duty.

4. How long we keep data

• Requests through the website: for as long as needed to follow up on your request and stay in touch. If you do not become a customer and we no longer need your data, we delete it.
• Customer data: for as long as the agreement runs, and after that for as long as the law requires, 7 years for the administration.
• Analytics data: for as long as needed to analyse how the website is used, after which it is deleted automatically.

5. Who we share data with

We never sell data. We only use parties that help us deliver the website and our services, with agreements on security and confidentiality:

• OVHcloud: hosting of the website and our systems, within the European Economic Area.
• Backblaze: encrypted storage of backups of our systems, in Amsterdam.
• Resend: sending the emails that come from our systems.
• Google: Google Analytics (only with your consent) and Google reCAPTCHA.

Beyond that we only share data when the law requires us to.

6. Data outside the European Economic Area

Google and Resend may process data in the United States. This is covered by the European Commission's standard contractual clauses or the EU-US Data Privacy Framework. Backblaze is an American company; the backups are stored in Amsterdam and standard contractual clauses apply to them as well.

7. Security

We take appropriate technical and organisational measures to protect data, such as encrypted connections and storage, access only for those who need it, and an audit log.

8. Your rights

You have the right to access your data, to have it corrected or deleted, to restrict its processing, to object and to have your data transferred. If you gave consent, you can always withdraw it. Send your request to info@ralect.com; we respond within a month.

9. Complaints

If you are not happy with how we handle your data, please let us know. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

10. Changes

We may update this statement. The latest version is always on this page, with the date it takes effect.
